Privacy Policy
Last updated: 28 October 2026
Build Phaze is a product of Farmyard Labs Ltd, a company registered in England and Wales (company no. 17507812), whose registered office is at 124-128 City Road, London, England, EC1V 2NX. Farmyard Labs Ltd ("we", "us") is the controller of the personal information described here, which means we decide why and how it is used. This policy explains what we collect, why, who we share it with, how long we keep it and your rights.
The short version: your renovation plan stays on your device. We hold only your account, your subscription status, your feedback and support messages, and anonymous usage and crash information.
What we collect, why, and our legal basis
- Your account. Your email address, display name and password (stored as a one-way hash, so nobody can read it), a random account ID, the date you created the account, and a record of which version of our Terms and Privacy Policy you accepted and when. Handled by our authentication provider, Supabase. We use it to create and run your account and sign you in. Legal basis: it is needed to provide the service you signed up for (contract). We keep the acceptance record because we have a legitimate interest in being able to show which terms you agreed to. You need an account to use Build Phaze.
- Your subscription. Apple or Google takes your payment, and we never see your card details. Our subscription provider, RevenueCat, receives your account ID (not your name or email), the purchase receipt from the store, and technical details such as your device type and operating system. It tells the app whether you have an active subscription. Legal basis: contract.
- Your renovation plan. Your properties, projects, phases, rooms, tasks, contacts, notes, photos and documents are stored on your device, separately for each account signed in on that device. We do not receive, upload or have access to them. If your device's own backup is switched on (for example Google's backup on Android or iCloud backup on iPhone), it can include the app's data. That backup is held by Google or Apple under your own account, not by us, and you control it in your device's settings. If you use Import from Contacts, Build Phaze reads your contacts on your device, with your permission, to show you a list to choose from, and they never leave your device. The same goes for the camera and photos (to attach pictures to tasks and rooms), the calendar (to add a phase's dates, write-only), Face ID, and reminders, which are scheduled on your device. We don't use push notifications.
- Anonymous usage analytics. Which features are used and how often (for example that a task was added or a screen was opened), plus your app version, device model, operating system version and language setting. Collected by PostHog under a random ID generated on your device, which we never link to your account, email or purchases. It does not include what you type, or the names, addresses or amounts you enter. Legal basis: our legitimate interest in understanding how the app is used so we can improve it. It is on by default, and you can switch it off at any time in Account > Preferences (Share anonymous usage data).
- Crash reports. If the app crashes or hits an error, Sentry receives the error, your app version, your device model and operating system, a short trail of the app's recent screens and steps, and an identifier generated for the app on your device. It never includes anything you have entered in your renovation plan, your photos or your account details. We don't attach your IP address to a report or link it to your account. Legal basis: our legitimate interest in finding and fixing faults. It is on by default, and you can switch it off at any time in Account > Preferences (Share crash reports). Switching it off stops the crash reporter from starting, so nothing is sent.
- Feedback and support. If you use Account > Send feedback or Get help, we store your message (and, for help, the question you typed and the help articles shown), with your app version and platform, linked to your account, so we can read and answer it. Legal basis: our legitimate interest in answering you, and contract where you need help with the service. If you email us, we keep the email.
Documents you generate
Build Phaze can produce project summary documents, for your own records or to share with someone such as a lender, broker or insurer. They are made on your device and are not sent to us or to anyone on our behalf. Whether and with whom you share one is your decision.
Information stored on your device
Build Phaze stores information on your device. Most of it is essential: your renovation plan, your sign-in session and your settings, kept separately for each account on the device. The random analytics ID is not essential. It is used only to produce anonymous statistics about how the app is used, with a simple way to switch it off at any time (Account > Preferences), and it is not shared with anyone except the provider that helps us produce those statistics.
What we don't do
- We don't sell your data.
- We don't show ads or use tracking-based advertising, and we don't track you across other companies' apps.
- We don't make decisions about you by automated means that have legal or similarly significant effects.
Who we share it with
These providers act on our instructions, under written contracts:
- Supabase, for sign-in and to store your account, feedback and support requests (Ireland).
- RevenueCat, for subscription status (United States).
- PostHog, for anonymous product analytics (EU).
- Sentry, for crash reports (EU).
Apple and Google run the App Store and Google Play and handle your payment. They are separate controllers of the information about your purchase, under their own privacy policies. As with any online service, each provider's servers can see the IP address your device connects from. We may also share information if the law requires it.
Where your data goes
Your account details, feedback and support requests are stored in Ireland, and anonymous analytics and crash reports in the EU. The UK treats countries in the European Economic Area as providing adequate protection for personal data. RevenueCat processes data on servers in the United States. Our contract with RevenueCat includes standard contractual clauses together with the UK's International Data Transfer Addendum, which are safeguards the UK recognises for this kind of transfer. Our contracts with Sentry and PostHog also include standard contractual clauses together with the UK's International Data Transfer Addendum, which are safeguards the UK recognises if any analytics or crash report data is handled outside the UK and the EEA.
How long we keep it
- Your account details, the record of the terms you accepted, and your feedback and support requests are kept until you delete your account, and are then removed from our systems. Copies in our providers' backups are overwritten as those backups roll over.
- RevenueCat keeps your subscription record for as long as it is needed to run and account for the subscription and to meet legal obligations. Deleting your Build Phaze account does not automatically delete it: email us and we will ask RevenueCat to remove it, apart from what the law requires it to keep. Apple and Google keep billing records for as long as the law and their own policies require.
- Anonymous analytics and crash reports are kept for a limited period, for as long as they are useful for improving and fixing the app and no longer than our providers keep them on our plan. They are not linked to you, so we can't find and delete yours on request.
- Emails you send us are kept for as long as we need them to deal with your query and any follow-up.
Your choices
You can turn off anonymous usage analytics (Share anonymous usage data) and crash reports (Share crash reports) separately, at any time, from Account > Preferences in the app.
You can delete your account at any time from Account > Delete account in the app, or from buildphaze.app/delete-account if you don't have the app installed. This permanently removes your Build Phaze account, along with your feedback and support requests and the record of the terms you accepted. It does not cancel a subscription: cancel that in your App Store or Google Play settings. If you delete your account in the app, your renovation plan is also removed from that device, because we never held a copy and can't restore it: use Account > Export backup first if you want to keep it. Deleting from the website can't reach your device, so a plan on it stays there until you delete the app. A copy in your device's own backup (Google or Apple) is not removed by us: delete it in your device's backup settings if you want it gone.
Your rights
Under UK data protection law you can ask us to show you the personal information we hold about you, to correct it, to delete it, to restrict how we use it, and to object to our use of it where we rely on our legitimate interests. Where we use information under a contract you can ask for a copy in a portable form, and where we rely on your consent you can withdraw it at any time. Email us using the details below. We will reply within one month and will not normally charge. We may need to check who you are first.
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
Children
Build Phaze is for people aged 18 or over. We don't knowingly collect information from children.
Changes to this policy
We may update this policy. If a change is significant, the app will show you the new version to accept. The date at the top of the accept screen is the version you are agreeing to.
